FRA Awards (“we”, “us” or “our”) is responsible for the personal information described in this policy. By using this website or submitting an award entry, you acknowledge the practices set out below.

In brief: we use personal information to administer entries, communicate with entrants, process payments, operate the awards and publish awarded work. We do not sell personal information.

  • Applicant and contact information: your name, company or studio name, email address and related correspondence.
  • Entry information: project title, category, project statement, designer or studio details, country or location, images, files and other material submitted with an entry.
  • Payment and transaction information: payment status, amount, currency and transaction references. Full card or bank-account details are handled by the payment provider and are not stored by FRA Awards.
  • Website and technical information: IP address, browser and device information, referring pages, timestamps, server logs, cookie identifiers and information about how the website is used.

2. How We Use Information

We use information to:

  • receive, verify, organise and administer award entries;
  • communicate about entries, deadlines, payments, results, trophies and award-related updates;
  • facilitate evaluation, selection and award administration;
  • process transactions and maintain financial and administrative records;
  • publish and promote awarded projects as described below;
  • operate, secure, analyse and improve the website and submission process;
  • prevent fraud, misuse and security incidents, and comply with legal obligations.

3. Legal Bases

Where applicable law requires a legal basis, we rely on one of the following: performance of our agreement with you; your consent; our legitimate interests in operating and protecting FRA Awards; or compliance with a legal obligation. You may withdraw consent at any time, without affecting processing that occurred before withdrawal.

4. Project Materials and Winner Publicity

Authorised award administrators and evaluators may access submitted materials to review and manage entries. If a project receives an award, we may publish the project title, designer or studio name, country or location, category, level of recognition, submitted statement and selected images on the FRA Awards website, social channels, press materials, exhibitions, publications and award archives.

Entrants are responsible for ensuring that they have the authority and permissions required to submit personal information, project materials and images, including information relating to collaborators, photographers, clients or other third parties.

5. How We Share Information

We may share information only where reasonably necessary with:

  • award administrators and authorised evaluators;
  • website hosting, form, cloud storage, email, security and technical service providers;
  • payment providers such as PayPal, who process payment information under their own privacy terms;
  • professional advisers, regulators, courts or authorities where required by law or necessary to protect legal rights; and
  • a successor organisation in connection with a merger, reorganisation or transfer of the awards programme, subject to appropriate safeguards.

We do not sell or rent personal information.

Awarded project information may remain in the public archive as part of the historical record of FRA Awards. Other entry materials are deleted or anonymised when they are no longer required for these purposes.

We use reasonable administrative, organisational and technical measures designed to protect information against unauthorised access, loss, misuse or alteration. No online service or transmission method can be guaranteed to be completely secure.
